Refund Policy

NEXTOP TECH LLC, a registered Limited Liability Company in the State of Wyoming (“NEXTOP TECH,” “we,” “us,” or “our”), enforces a clear, transparent, and legally compliant policy regarding service cancellations and refunds.

Because we specialize in custom digital services—including website development, UI/UX design, search engine optimization (SEO), Google Business Profile (GBP) optimization, AI Automation Services, and agency-managed technical support—our work requires immediate allocation of specialized engineering, administrative, and strategic resources.

By purchasing any service, package, or retainer from NEXTOP TECH LLC, you explicitly agree to the following terms:

1. General Refund Policy
  • Non-Refundable Custom Services: Except where required by applicable law, all payments and deposits for custom digital services, software development, UI/UX builds, and technical setups are strictly non-refundable once work has commenced.
  • Setup Fees and Retainers: Except where required by applicable law, all one-time setup fees (including custom AI Automation Services setup and training fees), initial development deposits, and monthly recurring B2B service retainers (for SEO, Local Search, or technical maintenance) are non-refundable from the moment payment is successfully processed.
  • No Post-Delivery Refunds: Once a custom website is signed off on staging and deployed live to a production server, or once an AI Receptionist agent or SEO campaign is launched, the Client shall not be entitled to a refund, except where required by applicable law.
2. Digital Assets, Hosting & Domain Registrations

The following third-party and technical assets are subject to strict non-refundable terms upon procurement:

  • Domain Names: Domain name registrations, transfers, and renewals are non-refundable except where required by applicable law.
  • Web Hosting: Web hosting setups and recurring hosting renewals are non-refundable after activation.
  • SSL Certificates & Third-Party Licenses: SSL certificates are non-refundable after issuance. Premium themes, software licenses, paid plugins, or third-party API subscriptions purchased on behalf of the Client are strictly non-refundable.
3. Limited Refund Exceptions & Processing
  • Company Inability to Perform: If NEXTOP TECH LLC is unable to deliver the purchased service due solely to its own inability to perform, any refund or credit, if applicable, shall be determined by NEXTOP TECH LLC in accordance with these policies and applicable law.
  • Processing Time: Approved refunds will be initiated within five (5) to ten (10) business days. The actual time required for funds to appear may vary depending on the Client’s financial institution or payment provider.
4. Service Cancellations and Billing Notice Periods
  • 30-Day Written Notice for Recurring Retainers: You may choose to cancel your monthly recurring services (such as SEO campaigns, local GBP maintenance, or technical retainers) at any time. To avoid being billed for the subsequent cycle, you must submit a formal, written cancellation request strictly via email to contact@nextoptech.com at least thirty (30) calendar days prior to your next scheduled renewal date.
  • Immediate Termination Option: If you require immediate cancellation of a recurring service without providing the mandatory 30-day notice, you must pay an immediate close-out fee equivalent to one full month of your active recurring service rate to cover pre-allocated developer and strategic resources.
  • No Prorated or Partial Credits: If a recurring campaign or service is canceled midway through an active monthly billing cycle, NEXTOP TECH LLC will continue delivering services until the end of the paid billing period. No prorated refunds or partial credits will be issued for unused days within that active month.
5. Payment Disputes & Merchant Protections
  • Direct Resolution Required: The Client agrees to contact NEXTOP TECH LLC at contact@nextoptech.com to resolve any billing discrepancies prior to initiating a dispute with their credit card provider or financial institution.
  • Chargeback & Recovery Fees: In the event of an unauthorized or invalid payment dispute/chargeback for services rendered, NEXTOP TECH LLC reserves the right to recover the disputed amount, an administrative chargeback fee to the extent permitted by applicable law plus any actual merchant processing costs, and accrued late fees up to the maximum extent permitted by applicable law.
  • Governing Law: This Cancellation and Refund Policy shall be governed by and interpreted in accordance with the laws of the State of Wyoming, United States. Matters relating to project abandonment, client-side delays, asset delivery failures, and dispute resolution are governed by our master Terms and Conditions.
